Starting a Group Video Call
Group video calls in WriteUpp work in a similar way to standard 1:1 calls, with one key difference - the host is responsible for admitting each participant individually before the call begins. This ensures you have full control over who joins the session.
You can host a group video call with up to three other participants (four people in total, including you as the host). Important: To host group calls, the user must have a video licence assigned to them. Click here to learn more about the group video add-on (which comes with unlimited minutes included!).
How to Start a Group Video Call as the Host
- Verify that your user (booked for the Group Video call) has a video licence assigned. Users with a video licence also receive unlimited video minutes. Further details on enabling Group Video calling can be found here.
- Click on the video appointment slot in the diary to open the appointment modal. Note: a video call can only be initiated within 5 minutes of the appointment start time.
- Click on the ‘Switch to Video’ icon at the top of the modal

and hit ‘Open Waiting Room’ to launch the call.
- You’ll be taken to a waiting room screen, where you can see participants waiting to join.
- As participants request to join, you’ll see a prompt to accept each request:

- Approve each participant individually. If accepted, they will be added to the call when it starts. You can also remove a participant, if needed.
- When all participants you’re expecting have been accepted, click Start Call.
You can begin the call at any time, but you will only see or be able to interact with participants you’ve approved.
Approving Participants
- Each participant joins via the same patient join link.
- Participants are placed in a waiting room until you approve them and start the call.
- You’ll need to accept each participant separately before they can enter the session.
- If a participant leaves and rejoins, you will need to approve them again.
A group video call can include:
- 1 host (you). There can only ever be one host in a video call.
- Up to 3 participants
This makes 4 people in total.
If the call room is full, any additional participant who tries to join will not be able to enter, unless you remove someone already in the call.
How Group Calls Compare to 1:1
Group video calls work almost exactly the same as 1:1 sessions, with the following differences:
- The host must manually admit each participant
- You can have up to 3 participants in addition to the host
- The waiting room shows multiple pending requests, which you must approve
- If you are expecting only one participant, you can still run the session normally - simply accept their request and then start the call.
Once everyone has joined, the call functions just like a standard video session.
Ending the Call
When you're finished, simply end the call for all participants using the End Call button, just as you would with a 1:1 session.
