Configuring Online Booking 2.0
There are several settings on the Online Booking Configuration screen that allow you to customise your Online Booking 2.0 website.
In your WriteUpp site, go to Main Menu -> Integrations & Add Ons and click on the Configure button in the Online Booking section. This will take you to the configuration screen for Online Booking 2.0.
Important: Only Site Administrators have access to the configuration screen for Online Booking. If you have any other user role, then please speak to the Site Administrator about setting up Online Booking.
What can I configure:
On/off switch - you can use this switch to set your Online Booking website as unavailable. If the switch is off, then no online bookings can be made. Turn it back on to enable bookings again.

Use the ‘What would you like to display to customers if online booking is switched off?’ field to enter text that will be displayed on the homepage of your Online Booking website when it is unavailable.
Welcome Text - Use this field to enter text that will be displayed at the top of your Online Booking website when it is available. This text will be visible to the client on the homepage. You could use this field to give a brief description of your practice and/or to specify booking instructions.

There are also a number of Online Booking Settings that you can define:
First Day of the Week – Use this dropdown to select the day of the week that the calendar in your Online Booking site will start on. You can choose any day, from Monday to Sunday.

Offset for bookings - this dropdown is used to select an offset period. On the calendar screen in Online Booking, availability will only be shown after the selected offset period. For example, if you have the offset period set to ‘Next day’, no availability will be shown for the current day, and appointments will begin from the following day.

Limit for bookings - This setting allows you to define how far into the future availability will be shown. On the calendar screen in the Online Booking system, availability will only be displayed up to the end of the selected period. For example, if the booking limit is set to ‘One month’, no availability will be shown for dates beyond one month from the current day.

Customer verification - select if clients booking online must verify their identity. There are three options to choose from:
No verification - Clients do not need to verify their identity and must enter new details with each booking. Warning: this can result in duplicate clients.
SMS verification - When making an online booking, clients will be prompted to enter their mobile number to receive an SMS verification code. They must then enter this code on your Online Booking site to proceed with the booking. If the mobile number they provide matches one on record for an existing client in your WriteUpp system, the booking will be associated with that client.
Email verification - When making an online booking, clients will be prompted to enter their email address and will receive a verification code via email. They must enter this code in your Online Booking site to proceed. If the email address they provide matches one on file for an existing client in your WriteUpp system, the booking will be made against that client.

Price Visibility - use this dropdown to choose to hide or show the prices of Appointment Types in your Online Booking website. If shown, clients will be able to view the cost of the Appointment Types when booking. If prices are hidden, they will not be displayed. Please note, if you have pre-payment enabled for an Appointment Type, then the price of the appointment will be displayed on the pre-payment screen, regardless of your visibility setting.

Show Discount Code - Use this switch to enable or disable the discount code field in the Online Booking system. When enabled and payments are active for the appointment being booked, clients will see a Discount Code field on the 'Client Details' screen. Here, they can enter a discount code, which, if valid, will be applied to the cost of the appointment on the payment screen. If discount codes are disabled, the Discount Code field will not appear in the booking process.

If you make any changes to the configuration settings, then be sure to click 'Update Settings' at the bottom of the screen, to save the changes.
The Online Booking availability table:
At the bottom of the configuration screen, you'll find the Online Booking availability table. This allows you to view the availability of your Appointment Types within Online Booking.
To use it, simply select an Appointment Type from the dropdown menu. A table will then display the locations and clinicians offering that Appointment Type through Online Booking. The table includes an 'Availability' column, which shows the availability of that Appointment Type in Online Booking, and a 'Timetabled' column, reflecting the schedule you've set up for the user in WriteUpp.
If no availability is shown for a specific location and clinician, it means that their schedule hasn't been fully set up. To learn how to configure availability for Online Booking, check out the guides below:

You will also notice a 'Last updated' marker above the Online Booking availability table. If this marker displays "Changes Pending," it means that availability in your Online Booking website is currently being updated based on recent changes. Typically, updates to availability take a few minutes to appear on the Online Booking site.
