How do I block out admin time after online booking appointments?

If you'd like to automatically block out time after an appointment, you can add buffer time when setting up your appointments. This adds extra time to the booking in your diary without affecting the treatment duration seen by your patients. Learn how to set this up here: Adding buffer time between appointments.

To help illustrate how buffer time works, here’s an example:



In this example, the appointment has a duration of 60 minutes with a 15-minute buffer time.
When booked, the appointment will occupy a full 60-minute slot in your diary (not a 1 hour 15 minute appointment slot!). However, in Online Booking, the client will only see a 45-minute session, as the final 15 minutes are reserved for buffer time, giving you space between appointments without impacting the visible session length.

Alternatively, if you'd prefer to manually manage gaps between appointments, this can be done by adding a non-patient appointment after each booking. Once you're notified that an online booking has been made, you can block out the required time using a non-patient appointment type. To create a non-patient appointment type, you just need to select 'Non-Client Appointment only' when creating or editing a type:



We recommend adding buffer time to your appointment types, as opposed to trying to manage this manually. Remember: treatment time = appointment duration - buffer time!
