How do I set availability in Online Booking 2.0 (Single location site)

This article will take you through all of the steps that you need to follow to set up availability in your Online Booking 2.0 system.

IMPORTANT: This article will explain how to schedule availability if you are using a single location WriteUpp site. If you have multiple locations enabled, then please click here to learn how to set up availability in multiple locations. If you are not sure whether you have a single or multiple location site, you can head to Settings -> Organisation in your WriteUpp site and you will see your location information there. If the ‘Multiple locations enabled’ checkbox is ticked, then please refer to the article on scheduling availability in multiple locations.

Warning: You must have the user role of Site Administrator to complete the set up for Online Booking.

Firstly, set up all of the Appointment Types that you wish to offer via Online Booking. You will need to set them as available and enter display information for them. Head to Settings -> Scheduling -> Appointment Types to do this (Read more).

Remember to check which resources are ticked for each Appointment Type. If a user is not ticked to offer an Appointment Type, then they will not appear in Online Booking as available for that booking.

Set up the users that you wish to be available to book with in Online Booking. You will need to set them as available and enter details for their profile. Go to Settings -> Users -> User Profile to do this (Read more).

Then, head to Settings -> Organisation -> Online Booking and enter address details and directions for getting to your practice location (Read more).

Finally, schedule working hours for your users. For a single location WriteUpp site, availability in Online Booking will be based on the user’s working hours. Head to the Main Menu -> Settings -> Users and click on the three dot menu at the end of the row of the user you would like to set up:



Click on ‘Edit Settings’ from the dropdown menu and you will see a section for their working hours. Edit their working hours to what they should be for Online Booking and click Save:



Head to your Online Booking site and have a test run through the booking system. You should be all set up!

Top top: If you find you need to block out availability on certain days for a user in Online Booking (to prevent clients from booking into it, during holidays or meetings for example), then you can use a non-client Appointment Type to block out time in the diary (read more).
