New Price Plans and Easier Billing with Stripe! (v2.17.16)

This release introduces Stripe Billing and our new WriteUpp plans, making it easier to manage your subscription and choose a plan that fits your practice.

You’ll also find some great improvements in this update, including more flexibility in the Form Builder, automatic population of Healthcode Authorisation Codes, and a handful of useful bug fixes to keep things running smoothly.

Read on for all the details...

New Features

New Billing System and Pricing Plans

We’ve introduced the option to switch to Stripe for billing, giving you a smoother, more secure way to manage your WriteUpp subscription.

Alongside this, we’ve launched three new plans designed to suit practices of all sizes, which become available once you’ve made the switch:

Learn how to switch to Stripe Billing here

Flex:

A pay-per-user plan that’s flexible and ideal if your team size changes frequently.

  • Online Booking is available as an optional add-on.
  • SMS and Video credits are purchased separately.
  • On the Flex plan, all active users are billed.

If you’re a current subscribed user, you’re already on the Flex style plan. There will be no changes to your pricing unless you choose to switch to Solo or Group, or update your subscription.

A new Non-clinical user type has also been introduced in this release, and is designed for your administrative staff - they can log in and help manage your practice but don’t have a diary and can’t be booked for appointments. Learn more about clinical and non-clinical user types here

Important:

  • Existing sites will have all users set as clinical by default.
  • If you have administrative users who don’t need a diary, you can change their user type to non-clinical under Settings → Users.

On the Flex plan, every active user (clinical or non-clinical) requires a paid licence. Looking to save on admin users? Check out the new Solo and Group plans below, which include free non-clinical users.

Solo:

Perfect for single-clinician practices.

Includes:

  • 1 Clinical user
  • Online Booking
  • 100 SMS credits per month
  • 1 free Non-clinical user

(Additional SMS and Video credits can be purchased separately.)

Group:

Designed for larger teams and growing businesses, with pricing starting at 2 clinical users.

Also includes:

  • Online Booking
  • 100 SMS credits per clinical user per month (e.g. that’s 500 SMS credits included if you have 5 clinical users!)
  • Unlimited free Non-clinical users

(Additional SMS and Video credits can be purchased separately.)

Important: SMS credits included with the Solo and Group plans do not roll over each month.

These plans are explained in more detail here.

Why we’ve made these changes:

These new plans are better value for money, more predictable and designed to grow with your practice.

The Solo and Group plans could save you money if you:

  • Use Online Booking
  • Regularly use SMS credits
  • Have admin (non-clinical) staff on your team.

Changing plans:

Once you’ve switched to Stripe Billing, you can review or change your plan to Solo or Group at any time under Settings → Account details.

Improvements

Convert Field Types in the Form Builder

When designing your assessment templates, you can now convert existing fields in the Form Builder to different types:

  • A new Convert Field icon has been added to each form element in Build mode (except for Horizontal Line, which has no field to convert).
  • Shared attributes (such as field name) are retained during the conversion, while any attributes not supported by the new field type are removed.
  • Options are carried across between single choice and multiple choice fields.

This update makes it quicker and easier to adjust your form design without needing to recreate fields from scratch.

Also, default field names are now more descriptive (e.g. Text Field or Annotation Field) instead of Untitled Field!

Healthcode Form - Auto-Populating Authorisation Code

If a third party on the client record has a field named Authorisation Code completed, it will now automatically populate the Auth Code field in the Healthcode form. Please note: as these fields can be customised, the field name must be exactly Authorisation Code for this to work.

Bug Fixes

  • Invalid characters are now removed from file names when uploading attachments in WriteUpp.
  • The ‘Expected duration’ shown in the video information screen of the appointment modal now reflects the treatment time, rather than the default duration of the appointment type. Treatment time is calculated as the appointment duration minus any buffer time.
  • Fixed an issue where, on verified sites, the communications section would become blocked when switching to a client-related appointment in the modal without a client initially selected.
  • In the quick new client modal, the Create button now shows a spinner and is disabled once clicked.
  • Locations in the appointment modal are now displayed in alphabetical order. Any newly created locations will also be added to the list alphabetically. The default location will remain pinned at the top of the list for easy access.
  • The Next of Kin Phone field on the Patient Summary has been updated to allow up to 30 characters.
  • The Xero contact linked to a Next of Kin (NOK) is now automatically populated in the Xero export modal when selected as Payable by.
  • When both NOKs have Xero contacts linked, the correct contact is now populated in the Xero export modal.
  • Creating a new contact in the Xero mapping modal now automatically populates existing details for the NOK in the Xero Mapping modal.
