Online Booking 2.0 - A Client’s View

This article walks you through the steps your clients will take when booking an appointment through your Online Booking 2.0 website, powered by WriteUpp.

The first screen your clients will see is the homepage of your Online Booking site. Here, they'll be greeted with your site name and logo, a welcoming message that says "Welcome to Online Booking," and your personalised Welcome text. Below that, they'll find a list of available Appointment Types. To proceed, they simply need to click ‘Book’ next to the appointment they’d like to schedule.

You can set your site name and logo in your WriteUpp site, under the main menu -> Settings -> Organisation.

The Welcome Text can be specified on the Online Booking Configuration page - read more.

After selecting an Appointment Type, the client will be taken to the ‘Select Location’ screen. This screen displays all of the locations where the chosen Appointment Type is available. Note: If there's only one location option, it will be automatically selected, and the client will skip this step.

After selecting a location, the client will be directed to the ‘Select User’ screen, where they’ll choose who they’d like to book the appointment with. This screen will only show users offering the selected Appointment Type. Note: If only one user is available, they will be automatically selected, and the client will skip this step.

Once they have made their selections, the client will be taken to the calendar screen. Here, they’ll choose a date, and the system will display a list of available appointment times for that day. Any days without availability will appear greyed out on the calendar.

Once the client has selected a date and time, the next screen they see will depend on your client verification settings. If you have client verification turned off, then they will be taken directly to the Client Details screen. Here, they must enter their details to create a new client record.

If client verification is enabled, either via SMS or email, the client will be prompted to enter their mobile number or email address. They’ll then receive a verification code to enter before proceeding with the booking. If their contact details match an existing client record in your WriteUpp site, they’ll be able to select that profile to book against. If there’s no match, they can click the 'Not you?' button and they’ll be directed to the Client Details screen to create a new client record.

You can manage the client verification setting on the Online Booking configuration page.

If prepayment is not enabled for the selected Appointment Type, the appointment will be booked into your diary as soon as the client confirms their details. They’ll then be shown the final Appointment Summary screen.

If prepayment is enabled for the selected Appointment Type, the client will be taken to the 'Payment Information' screen. Here, they’ll see the cost of the appointment and will need to enter their payment details:

Once payment is completed, the appointment will be both booked and paid for, and the client will be directed to the final Appointment Summary screen.
