Managing Clinical and Non-Clinical Users

In WriteUpp, every user is assigned a type. either Clinical or Non-Clinical.

  • Clinical users are your clinicians who see patients. They require a diary in WriteUpp and can be booked for appointments.
  • Non-clinical users are your administrative staff. They help manage your practice but do not see patients, do not need a diary, and cannot be booked as an appointment resource.


If you’re a Site Administrator, you can change a user’s type from Clinical to Non-Clinical (or vice versa), depending on your subscription plan.


How to change a user’s type:


  1. Go to Settings -> Users.


  1. Find the user you want to update and click the three-dot menu beside their name.


  1. In the menu:
  • If the user is Clinical, you’ll see 'Make Non-Clinical'.
  • If the user is Non-Clinical, you’ll see 'Make Clinical'.


  1. Click the relevant option to change their type.


Alternative method: When editing a user’s profile, you’ll also see a 'Make Clinical' or 'Make Non-Clinical' button (depending on their current type) that can be used to switch their user type.


  1. Use the tab headings at the top of the page to view lists of Clinical or Non-Clinical users. You should see the user you just updated moved over to the appropriate list.


  1. The change will apply the next time the user logs in:
  • Clinical users will gain a diary.
  • Non-Clinical users will lose their diary. Past appointments will disappear from the diary but remain visible under Reporting and in the Client Summary.


Important: You can only change user types if your subscription plan allows it. If you do not see the option to switch a user's type, it means you do not have the appropriate number of licences. See below for plan-specific rules.


Plan-Specific Rules for User Types


Flex Plan
  • All users, both Clinical and Non-Clinical, require a paid licence.
  • You can freely switch users between Clinical and Non-Clinical at any time.


Solo Plan
  • Limited to 1 Clinical user and 1 Non-Clinical user.
  • Only the Clinical user requires a licence.
  • If you have 1 of each user type on this plan already, you cannot switch user types. Contact Support if you need advice on changing your setup.


Group Plan
  • You can have as many Clinical users as your licence count allows.
  • Only Clinical users require a licence.
  • You can make a Non-Clinical user into a Clinical one if you have an available licence.
  • Non-Clinical users are unlimited, so you can switch a Clinical user to Non-Clinical at any time.
