How do I send a patient a confirmation of an online booking?
By setting up a communication trigger using the trigger event 'Booking - Online Booking', your patients will be sent a confirmation of an appointment booked online, via either SMS, email or both!
Please note that patients who book online will not receive confirmations unless a communication trigger is set up using one of the trigger events specific to online bookings. If you have a communication trigger set up for the events 'Booking - Single' and/or 'Video Booking - Single', these will only send confirmations relating to appointments booked via the desktop version of WriteUpp or the WriteUpp app.
There is a predefined template within WriteUpp, called "New Appointment", which can be used alongside the trigger event for this purpose. You can of course modify this to customise it to your requirements, or create a custom template to use, perhaps if you would like to include extra information for patients who book online.
Any new patients created via online booking will automatically be opted into appointment communications, to ensure they receive the communications needed.
Returning patients who book online must have previously been opted into communicatons on the Patient tab of the Patient Summary to receive these.
If you signed up after April 2019, these confirmations are part of the predefined communications within WriteUpp. If you go to Settings -> Scheduling -> Appointment Communications, you can edit or delete any of these using the 3 dot menu at the end of the row:
If you do not see this present in your current list and you would like to set them up, just follow the steps below:
Go to Main Menu -> Settings -> Scheduling -> Appointment Communication
Click on New Trigger:
Use the dropdown boxes to create your communication trigger:
Method - Would you like to inform them via SMS or email?
Message template - What message would you like to send them to confirm their online booking appointment? You can use the 'Manage Templates' link to create and edit message templates.
Event - Select 'Booking - Online Booking' or 'Video Booking - Online Booking'. If you wish to see up online booking confirmations for both standard and video bookings, just make two triggers!
If type is - Would you like the message to be sent for only a particular appointment type?
Press Save
The new communication trigger will then be added to the list
Once this is set up, when patients make an appointment online, the specified message will be sent!
