How do I sync my diary with iCal?

To to sync your WriteUpp Diary to iCal on macOS (iMac/MacBook etc):

In WriteUpp, open the main menu and click on Integrations & Add Ons - > Calendar Integrations - > Configure

If your calendar feed is already activated, copy the feed displayed

If you don't see your calendar feed on screen, click on Activate the URL, which will then activate and display your URL

The calendar feed displayed here is specific to the user who is logged in. If, for example, you are a secretary or admin assistant to a clinician, you will need to ask them to provide you with the calendar feed displayed when they log in. If you work with multiple clinicians, you'll need to sync each users calendar link to your iCal.

Open up iCal on your device

Go to File -> New Calendar Subscription



Paste the Calendar Feed URL into the 'Calendar URL' field and click Subscribe



Specify a name for your calendar (i.e. "WriteUpp"), the colour of appointments and any other specifications including the auto-refresh time:



The auto-refresh time by default here is Every week, which means that iCal will only update once a week. To ensure you get the most up-to-date information pulled through, we'd recommend changing this to Every 5 minutes.

Once complete, click OK

The diary sync will display appointments from 1 week in the past to 12 weeks in the future - they won't sync indefinitely both ways. Past appointments and appointments more than 12 weeks in the future can be viewed within WriteUpp as normal.

The other thing to bear in mind is that this is a 1-way feed. Changes made in WriteUpp are passed to iCal but you can't change/create in iCal and have the changes sync to WriteUpp. The reason for this is that our calendar supports extra information relating to the appointment, such as Type & Status, that can't be specified in iCal.

How to sync your WriteUpp Diary to iOS Calendar (iPhone or iPad)


Follow steps 1-3 above to access your calendar feed within WriteUpp

Go to the Settings icon on your device and go to Calendar

Click on Accounts then Add Account and then choose Other

Click on Add Subscribed Calendar:


 
In the Subscription page, paste your Calendar Feed URL into the 'Server' field


 
Enter a Description (i.e. "WriteUpp Diary") and click on the Save button in the top right hand corner

Your WriteUpp appointments will then appear in your Calendar when they are created in WriteUpp

The frequency of updates to iCal on a mobile device will depend on what you have set up under Settings -> Calendar.  Under Fetch New Data, you should ensure that Push is turned on, and that Fetch is set up to retrieve data either Automatically, Every 15 Minutes, Every 30 Minutes or Hourly:



You should also tap on the WriteUpp calendar feed and make sure that the schedule is set specifically to Fetch:



Note: It's not possible to add your WriteUpp calendar via the calendar on icloud.com, as icloud.com doesn't support subscribed calendars. Please follow the steps above to add your calendar to the calendar app on your Apple device.

As above, the sync is a 1-way feed from WriteUpp to iCal. Changes are not passed from iCal back to WriteUpp.
