Editing email templates for appointment communications

To create an appointment communication (such as an appointment confirmation) you must select a message template to send out following the trigger event (e.g. a new appointment booking). WriteUpp comes with a few predefined templates which you can use and customise to your needs. You can also edit any email templates you have created.

To edit your email templates for appointment communications:


Go to Settings -> Scheduling -> Appointment Communication

Select the Email Templates button from the bottom of the screen:



Click on Edit next to the template you would like to change:



Make the required changes, then click on Save Template:

Note: Email templates in WriteUpp have a content limit of around 8,000 characters.

If you have information about your practice on a webpage (like directions or pricing information) that you wish to add to your email templates, adding a link out to these pages is a really easy way of limiting the amount of text you have to add.
If you are copying and pasting text from elsewhere, either from within WriteUpp or from a webpage or a word document, you could pick up some stray HTML formatting, which will increase the number of characters you use. To avoid this, you should either:
Paste the text into the notepad on your computer first, then copy and paste the plain text into WriteUpp. You can then use the tools in WriteUpp to format your templates.
Or
Compose your templates manually in WriteUpp by typing text and entering variables.


You can also quickly and easily edit an email template using the three dot menu at the end of the row of the trigger using that template. Go to Settings -> Appointment Communication and click on Edit Template within the three dot menu:

You can also manage email templates when creating and editing an appointment communication. If you select Email from the 'Method' dropdown and then click the Manage Templates link next to the 'Message Template' dropdown, this will take you to the screen where you can edit and create new email templates:
