How do you create a triggered document?
A triggered document would be something like an Appointment Letter, which you always print/email out every time you create or book an appointment. It's not sent or saved automatically, you would need to confirm the details and save the document, and then either print or email it out.
Any document can be triggered, but the only "trigger event" that is supported is 'New Appointment'. In essence, when the trigger event occurs (i.e. you create a new appointment manually) the document will open, so that you can print/send it out.
It is only possible to trigger one document from your list of document templates for all appointment types.
Go to Settings -> Docs, select the letter that you would like to be triggered and then click on the Show Advanced options link:
When you do this, you will be able to select the New Appointment trigger event from the dropdown:
When you are happy with the changes, be sure to click Save.
If you set up a trigger in this way, every time you create a new appointment this document will open for you to email/print out.
If you have different information which needs to be sent out for different appointment types, and different document templates for this, you might not want to set up a triggered document. You can simply go to Create -> Document after booking an appointment, choose the relevant one and send it to your client.
To automate some of the process, you might also like to look at sending automated communications via email out for different appointment types.
